PhantomBuster Alternatives: 4 Tools Compared (2026)
Short answer
Choose Apify for repeatable web datasets, Clay for custom research and contact workflows, Expandi for LinkedIn and email sequences, or Trendle for a recurring shortlist with reasons to review each name. These are different kinds of replacement. None should be bought simply because it appears on a list of PhantomBuster alternatives.
If your current PhantomBuster automations already deliver reliable output, keeping them may be the better decision. A change should solve a specific problem: missing fields, too much upkeep, an unsuitable bill, or a handoff that leaves useful work unfinished.
This comparison is published by Trendle. It is based on documentation and pricing research checked September 18, 2026, not hands-on testing or a measured performance contest. We include our product where its narrower purpose fits, and explain where it does not.

PhantomBuster itself supports more than collecting lists. Its current pricing page includes LinkedIn outreach campaigns, AI features and scheduled refreshes across supported platforms. Replacing it because another article says it cannot run campaigns would start from the wrong assumption.
Its Start plan lists five slots and 20 hours per month. Slots, runtime and contact credits measure different things. Establish which allowance actually constrains your work before treating a different pricing model as cheaper.
Before switching, specify the finished deliverable
Write a short requirement that another person could verify. Include:
- Input: the source or starting list you use.
- Required fields: the information that must survive into the output.
- Refresh schedule: how often the information needs updating.
- Destination: the spreadsheet, CRM or other tool receiving it.
- Owner: who checks failures, missing fields and the next step.
For example, a consultant might want 25 reviewed, relevant profiles each week, with a reason to research each person. That is a hypothetical business requirement, not a quantity promised by any product here. An operator might instead need a repeatable directory dataset with consistent fields for another application.
Those requests may start with similar-looking rows, but success means different things. The consultant needs judgment about relevance. The operator needs dependable data structure. A tool suited to one can leave the other job largely unfinished.
If your requirement is still unclear, our LinkedIn prospecting guide helps separate finding people from deciding whom to approach. Define that distinction before comparing subscription prices.
1. Apify: for repeatable web datasets
Apify is worth evaluating when your replacement needs to collect a particular kind of web data repeatedly. Its marketplace offers programs called Actors that perform specific collection or automation tasks. You can choose an existing Actor or build around a custom requirement.
The important decision is the individual Actor, not just the platform. Check its accepted inputs, output fields, maintenance history and billing model. A platform subscription does not make every available Actor equally suitable for your source.
Apify's current pricing lists Starter at $19 per month with $19 in prepaid usage included. That is not $19 plus another $19 for the first included usage. Charges beyond the allowance can increase the bill, and unused prepaid usage expires each billing cycle. The free plan includes $5 in monthly usage.
Actors can charge per event or by usage. Depending on the Actor, platform resources may be included or charged separately; storage, proxies and data transfer can also matter. Read the chosen Actor's terms before estimating the cost of your recurring task.
Where it does not fit: a finished dataset is not automatically a qualified prospect list or a completed sales process. Someone still has to check the records and decide what to do with them.
Changeover check: compare a real output sample against your required fields and destination. Include failed runs and cleanup in the evaluation, not only successful rows.
2. Clay: for custom research and contact workflows
Clay is a candidate when you want to combine research, contact information and your own rules in a table-based workflow. Its pricing page lists access to more than 150 data providers and Claygent for research. That flexibility is useful when the sequence of research steps is part of the requirement.
It also means someone must design and maintain those steps. Before choosing Clay, identify who will decide which providers to use, resolve conflicting results and prevent unnecessary repeat work.
On Clay's current monthly pricing, Launch starts at $185 total: $60 for an action allowance of 15,000 plus $125 for 2,500 data credits. Quoting only the $60 component would understate the starting package. Growth starts at $495 monthly and includes capabilities such as automatic CRM synchronization, HTTP API and webhooks.
Clay Free includes 500 actions and 100 data credits per month, with a 200-row limit per table. Connecting your own provider keys can avoid Clay data-credit charges for those providers, but actions still apply and the provider can bill you separately. Paid plans also include native email campaigns; Clay should not be described as unable to send email.
Where it does not fit: a flexible table is not the same purchase as a ready-made recurring shortlist. If nobody will own the workflow, customization may create extra administration.
Changeover check: build one necessary path first. Verify its output, provider cost and required plan before reproducing all your existing automations.
3. Expandi: for LinkedIn and email sequences
Expandi is the more relevant comparison when your main unfinished task is following up with an existing audience through LinkedIn and email. Its listed features include connection requests, messages, email follow-ups and conditional sequence steps.
That makes it a different evaluation from replacing a general collection workflow. Start with the people you intend to contact and the steps you want to coordinate. Check how replies, exclusions and duplicate prevention fit your process before looking at the length of the feature list.
Expandi Business is listed at $99 per month with a seven-day trial. The pricing page also offers custom agency arrangements for 10 or more seats. Images, GIFs and video personalization can involve paid extras, so keep those outside a base-price comparison unless you need them.
Cloud operation and configurable pacing are product features, not a guarantee that an account can never face restrictions. This article does not recommend exceeding platform limits or treating a vendor's safety language as a promise.
Where it does not fit: a sequence is not a substitute for every source, field or cross-platform task in an existing PhantomBuster setup. Better follow-up software also cannot decide whether your offer matters to the recipient.
Changeover check: map one sequence on paper, including what should stop it. Then verify that the plan supports those steps before moving active work.
4. Trendle: for a recurring LinkedIn shortlist
Trendle is relevant when the output you want is a shortlist to review, rather than an arbitrary dataset or a custom chain of tools. Its published promise is: A fresh ranked list every day, with the reason to contact each name.
The important word for an evaluation is reason. Read the context behind a name and decide whether it supports your next step. It is not proof that someone intends to buy, and a larger list does not by itself make a better sales process.
The current package is $99 per month for one audience and includes 100 email credits per month. Contact details depend on availability; credits are not a guaranteed number of usable contacts. Phone details require top-ups. Optional LinkedIn outreach requires setup and account availability and is off by default. Signing up should not be understood as immediately starting outbound messages.
The free offer is: Three free runs. No card, no count to chase. It is a bounded way to inspect the shortlist and reasons, with no promised prospect quantity.
Where it does not fit: Trendle is LinkedIn-focused. It is not a general website collector, a replacement for every PhantomBuster automation or a multiclient agency workspace. For broader contact-data requirements, see our Apollo alternatives comparison for a one-person team.
Changeover check: review whether the reasons help you make better decisions about this particular audience. Keep your existing collection task if you still need its distinct output.
Use a 30-record worksheet to compare usable output
This is a proposed evaluation you can run, not a test we performed. Start with existing exports or documentation where possible. You do not need to connect an account or send messages just to assess whether a product describes the task you need.
Select up to 30 records for a manageable review. That sample size is a convenience, not statistical proof or a promise that a free plan supplies 30 records. Use fewer if access or your audience requires it, and record the limit.
| Worksheet column | What to record |
|---|---|
| Record and source URL | A reference you can revisit |
| Date checked | When you reviewed the information |
| Required fields present | Which required fields are available, missing or uncertain |
| Manual cleanup minutes | Time spent correcting, checking and moving the record |
| Usable for the next step? | Yes, no or more research needed, under your written requirement |
| Reviewer's reason | Why that decision was made |
| Actual evaluation cost | Software, usage and provider charges you incurred |
Keep inputs, dates and requirements comparable where the products allow. If one cannot accept your required source, record a capability mismatch. Do not force a shortlist product and a general collector into a supposedly identical speed contest. If you change the task, evaluate it separately.
Count usable output, not simply exported rows. Then estimate the ongoing cost using your expected workload:
Monthly cost to evaluate = software + additional usage or providers + review and maintenance time.
For a hypothetical illustration, a $19 subscription requiring six hours of review at your assumed $40 hourly value represents $259 before extra usage. A higher software price could be justified by less work, but only your results can establish that saving. Time valued on a worksheet is not automatically cash saved.
Track conversations and opportunities separately. A short sample can reveal missing fields or heavy cleanup; it cannot establish which tool will produce more revenue.
Keep PhantomBuster, replace a part, or switch
Keep PhantomBuster when existing automations already meet the requirement and the upkeep is acceptable. A lower starting price elsewhere is not enough if recreating the task removes fields or creates more manual checks.
Replace part of the workflow when a clear handoff is failing. For example, collection may work well while deciding which records deserve attention takes too long. Name that gap before adding another subscription, and stop paying two products to do an identical job without a reason.
Before cancelling or migrating anything, preserve your configuration, scheduled-job details and field mappings. Verify the replacement's output and receiving system first. There is no universal migration time for workflows built from different sources and dependencies.
If the actual need is structured search across a market, our Sales Navigator evaluation guide covers that separate buying decision.
For a recurring LinkedIn shortlist with reasons to assess each name, try Trendle: Three free runs. No card, no count to chase. Choose it because that is the task you need done, and retain other tools only where their output still matters.
Questions people ask next
- Are there free PhantomBuster alternatives?
- Apify has a free plan with $5 in monthly usage, and Clay Free includes 500 actions and 100 data credits per month. Their limits and outputs differ. Trendle offers: Three free runs. No card, no count to chase. That evaluates a LinkedIn shortlist, not a general replacement for every PhantomBuster automation.
- Can one tool replace every PhantomBuster automation?
- Do not assume so. Match the source, required fields, refresh schedule and destination for each workflow. A tool that handles messages may not replace data collection, and a dataset may still need review before it is useful to a seller.
- What changes the monthly cost of an alternative?
- The billing meter matters: software subscriptions, usage charges, data credits, provider accounts and paid extras can all contribute. Include the time someone spends maintaining the workflow and checking its output. Compare a completed task rather than the lowest advertised starting price.
- Will switching from PhantomBuster get me more leads?
- Switching tools alone does not establish that more people need your offer or will respond. First compare whether the replacement produces the information and usable prospects you need. Then measure conversations and opportunities separately over your normal sales cycle.
